Email acknowledgements

How do I use the Email Acknowledgement option under Functions in Order Entry and Quote Entry? 
 

The Functions header in Quote Entry and Order Entry, when clicked, will prompt a drop-down menu that contains the following options:
 

Email Acknowledgements- Email Address setup fields in Customer Maintenance and additional system functionality allow you to send an Email Acknowledgement to clients and/or sales representatives when orders are placed with your company. This option is identical to the one that automatically pops up when you convert a Property Management/ Builders Template or a Web Order to a Job and piggy-backs off the email set up there, using the Portal email Mtc to format the email. It was added here in the event you need to send an Email Acknowledgement before processing a Template or without converting a Template, as in the case of a special-order request. When multiple Web Email Templates exist, the user will see a drop-down selection to choose from with a display of the customizable email text.

This feature will call up your system's default Email client, such as Microsoft Outlook (each customer needs to set this up before use), so you can use it from your BMS screen. *NOTE—This will not work with web-based email.

The Customer Maintenance module offers fields for client and Sales Rep email addresses that will work with this feature and should be completed before use.

The ability to edit or create a new Web Portal Email Message is found in System Maintenance>> Document Maintenance.
 

 

You can create more than one Email version, and each message can be added to All Branches, or you can set up different messages for every Branch by selecting a Branch ID at the top of this message box. When creating multiple messages, you can select the applicable message before sending it.  An example appears as follows: 
 

 

After creating a message, click the Save button. The title doesn’t have to appear on the first line but may help to distinguish between multiple messages. To add another message, type over the existing message and click the Save As New button. A “Save As” screen will appear.

*NOTE: This menu option will only appear under the following custom menus- MENU.FIL, MENUNO.FIL, and MENUB2BT.FIL.
