Release Notes v1808.2 -- Q2 Final
Sales Processing:
- The Print Email feature has been updated to include four additional “place holder” inserts. These are used to pull specific data into the body of an Email that is applicable to the Customer or Vendor receiving the Email. Those additional place holders appear as follows: Install Date, Install Time, Ordered By, and Customer PO. If you need assistance with this tech, please review the Emailing From BMS article or Video via the BMS Help Desk or contact a member of our Support Team at support@rmaster.com. Also, the Email Template Maintenance module can now be accessed via the Document Maintenance menu, located in the System Maintenance menu.
- The Batch Work Order Processing feature will now print graphical Work Orders. Prior to using this version, it is recommended that the User be well-versed in utilizing the current Graphical Work Order/Pick Ticket program. If your company has not 100% migrated over to the graphical printed Work Order, when you click on this option, the system will prompt a selection box as follows:
The graphical print version affords a few more options for sorting and printing as compared to the printed Text Batch W/O. When you enter this option, the screen will appear as follows:
Notice the addition of the Job Status and Installer drop down boxes. The Current Rev/Staged Rev box allows for selection of pre-Staged Work Orders (Current Rev) or Staged and ready to Ship Work Orders (Staged Rev). This selection will have a bearing on the Print Mode option on the right. If set to Current Rev, you can select Stage Mode to stage items only if they haven’t already been Staged. If Staged Rev is selected, the only Mode option will be to Ship, since the material has already been Staged.
Once your selections are made, click the Build button to load applicable Jobs in the screen below for Batch Work Order Processing consideration. You will then Select/Unselect as normal. Moving over to the Print output options, you will see additional features that are only possible because of the graphical printed document functionality as follows:
Many of these additional options are tied to additional functionality and setup in the system, so you need to make sure you have that completed first. If you have EDOCS on your system, you can designate which forms will print and the number of copies in this section. Diagrams will always be pre-selected. The next section are all optional Print items that will print in addition to the Work Order. Terms & Disclaimers, if previously set up, will allow you to toggle between Suggested or Optional items to print.
The Mode section should be considered carefully, as it represents the three different status types of Work Order documents: Pre-Stage, Stage, or Ship. The Pre-Stage mode is essentially a Pick Ticket, allowing you to print material lines on the Work Order without assigning material. The Stage mode is equivalent of selecting lines resulting in a Staged Revision. This is getting the material on a Job ready to ship out of the warehouse, or into the pre-shipping stage. And finally, the Ship mode updates the inventory record as having been cut and removed from the warehouse onto the jobsite.
- A new Filter has been added to Quote and Order Entry as follows: Template Name. This allows for displaying all Quotes or Jobs created from a specific Template. The Template Name is generated from the Unit Type field in the Property Management / Builder Template module. The Template Name also displays in the Job Detail box on individual Quotes and Jobs.
- A few updates have been made to the Install Dates tab functionality and Capacity Limits in Order Entry. In a prior release, a feature was added to allow for scheduling of multiple Labor Lines based on shared Accumulator Codes. In this update, if Capacity Limits are turned off (not enabled in CC4), in the Install Dates tab, when you click the Schedule Multiple Lines button, the system will now allow selection of **All** Accumulators at once. Please Note: the Installer button will only pull up Installers that can do all Labor chosen. Also in this scenario, the Related Items box will default to all items selected. And finally, in the Installation Schedule program, the Assign Installer – Entire Job will work with Multi-Day.
- The Graphical Work Order / Pick Ticket document, when using server-side printing, now has a Spanish Translation option. This option appears as a Translate Notes checkbox in the Work Order Print Preview Screen as follows:
When this option is checked, the system will copy existing Work Order Comment Lines, Customer Address Notes, and Installer Work Order Instruction Sheet data and print in both English and Spanish (rudimentary) on the printed document. This change also applies to the Graphical Batch Work Order Processing option.
- If the Allowed Invoice Minimum control in the Company Control 4 screen has been enabled, where a User is allowed to invoice below the minimum, a soft warning will prompt alerting the User to the Margin Below Allowable % amount prior to invoicing. The User can then click Continue to proceed.
- In the Invoice Selection Screen, a new Margin column has been added to the right of the Extension column as follows:
Please Note: this column will only display values where the User can see cost. Additionally, if Print Preference is Active on the Customer’s Ship To Code, the selection will display in this screen in green text next to the Copies field at the bottom as follows:
- In the Invoice Batch Printing feature, a new option has been added to allow for sending one Invoice per Email. This is because some companies will not process multiple invoices within a PDF file and insist on a single Invoice per PDF document. This option must be checked to work. It appears at the bottom right of the screen as follows:
- The Sales Agreement now displays an option to Print Labor Lines.
- The graphical Sales Agreement, Customer Receipt, and Invoice will now display a second phone number where one exists. You will see the second phone number after the first phone number, separated by a “/” (forward slash). Also, the Bundle Header has been removed from these customer-facing documents.
- In the Audit Review option in Order Entry, three new Audit Types have been added as follows: Group Box Assign, Installer Assign, and Job Reopened. The Installer Assign keeps track of assigning, unassigning, and editing an Installer on a Labor Line. The Group Box Assign relates to the Company Control 3 option “Allow Sales Lines not in Box Qty.” If set to “Y” for yes, thereby allowing items sold by the box to be broken up on lines, this Audit Type will track those occurrences. When a Job is Re-Opened via the module in Management Functions, this Audit Type will record that info. The same goes for re-opening a Quote. Also, changes in the Installation Schedule will update the Audit Review feature with the Audit Type “Installation.” Additionally, although pictured in a prior version of Release Notes, it should be noted that several Audit options have been added to this feature that have not previously specifically been pointed out. Those additional Audit items are as follows: A/P Charge Added, Building Unit, CARE Changed, Copied From Job, Copied To Job, Copied To Quote, Credit Status Changed, Cust PO Changed, Customer ID, Exit Date Changed, Install Initials, Job Status, Job Type, Job Unlocked, Line Add-Part Inv, Ship To Code, Ship To Reset, Sls Rep 1 Change, and Sls Rep 2 Change.
- An option to access the A/R Contacts feature has been added to the View menu in the Quote and Order Entry screens. When you click on this menu, you will now see “Contacts” as an option.
- For those customers utilizing the Leads Processing add on functionality, you now have the option to Copy Quote to a Lead from the Quotation Entry module. This will copy the “header” info into a new Lead. This option is located in the Copy menu, just below Copy Quote to a Template.
- Another level of Property Manager hierarchy has been added to the system as follows: National Property Manager. This is the top level, followed by Property Managers and then Property Management Customers. The setup needs to be completed in Customer Maintenance (see Accounts Receivable section below) and reporting has been added to the Customer Master Listing to Excel, A/R Aging Report, and Sales Analysis.
- In the Property Management/Builders Templates module, the Copy to Template option in the Functions menu has been updated to allow for deactivating the source Template in the form of a checkbox in the Copy Template to New Customer box. That checkbox appears as follows: Deactivate Template. Also, a new item to track when a Template was last used has been added to the Select Filter drop down menu and can be used in conjunction with the Date fields. It appears as follows: Last Used Date. When this filter is selected, you will also see an additional checkbox to the right of the Date fields as follows: Never Used. If you click this box, you can then search Templates that have never been used. Once results are filtered, in the Functions menu, a new option was added to inactivate the Templates in the results screen as follows: Inactivate Displayed Templates.
- A Time Maintenance module has been added to the Setup Programs menu. This was added in a prior version, but never documented in the Release Notes. This module was added to add/edit “time” parameters in the Time dropdown menu field that appears when setting an Install Date on a Job. These “Time” codes will appear in the Installation Schedule module, as well as on the Job. In most cases these will already be created in the system by your BMS Trainer, but this module can be accessed at any time to re-sort the order of the dropdown menu or add new Time descriptions. When you enter this module, the screen will appear as follows:
The Add New button will prompt an Edit Time box as follows:
The Short Description is what will display in the dropdown menu in the Job Detail box on the Job and in the Time column of the Installation Schedule and the Add New Install Dates box. The Long Description is for a longer description area and does not currently display or print out. The “Hide If No Records” option can be used on existing records to remove from live display boxes described above. You will need to double-click on an existing record to Edit. Once you begin typing in the Short Description field, a Save button will appear at the bottom right of the box above. Be sure to click Save to keep new records.
- On the Commission Payables Report export to Excel, the Material Sale amount and Web Order Y/N data has been added. The Web Order data is generated from the Property Management Web Portal add on module and will only apply to those customers.
- During the Credit Memo process, when a credit is processed on non-material lines, the standard message has been updated to reflect that no material is being returned to avoid any confusion. That message appears as follows: All Lines Have Been Credited. Do You Want to Invoice the Credit Memo Now?
- The Salesperson Job Listing and the Open Job Listing reports have been modernized and combined into one module with a title that appears as follows: Salesperson/Job Listing.
The settings in the screen above are the default settings for the Salesperson Listing report. If you click on the Open Job report option, some of the options will grey out as they don’t apply to that report. Both reports can also now be exported to Excel.
- In the Sales Tax Collected module, the system is now storing cleared files by date that can be called up and reprinted at a later time in a csv format. When you access this module, you will see a new option as follows: (H) to View Sales Tax Collected History. This will prompt a Sales Tax Collected History box as follows:
Double-click on a file to view the detail in a csv format.
- The Salesperson Payables History report now has a new prompt when printing Commissions Report to account for split sales as follows: Show Commission Splits and Recalculate Sales Amount? This is the same prompt that prints in the regular Salesperson Payables module.
Inventory Control:
- With the recent integration of Estimating Software with BMS, two new setup screens have been added to the Functions menu of the Product Code Maintenance module. When you click on that menu, you will see two new options as follows: FloorMaster Setup and Measure Square Setup. Typically, a BMS representative will walk customers through the initial setup, and there is also a video on setup available on the BMS Help Desk titled Measure Square Integration Setup.
- The Catalog Comments button will now display an “*” when Comments exist.
- The View Committed Inventory feature/screen has been added to both the Catalog Maintenance and Inventory Maintenance modules. This option appears as a menu option in the top left of the main Edit Existing Catalog item screen as follows:
This feature was originally added in the 1701.1 Release in Order Entry.
- In the Inventory tab screen of the Catalog Maintenance module, a new On Order field has been added next to the On Hand and Available fields. This field will display the total value of On Order inventory.
- In the Build Order Processing module, piece data has been added to the output on both the Single Build Order and Full Build Order SSP documents.
- In the Catalog Listing module, a new print option (only for Excel) was added and appears as follows: Show Edoc Exist. The default is to not print, so in order to see a notation for all items with existing Edocs, you will need to check this box prior to the export.
Bar-code Management and Printing:
- A new bar-code label format size has been added to server-side printing specifically for granite. That label size is 4” x ¾”. Printing this label requires a different printer and label stock from standard barcodes, so it will only be applicable for a select group of dealers.
Job Cost:
- In both the Job Cost Margin and Budget vs Actual reports, the export to Excel data now includes a column for the Ship Via field on the Job located in the Job Detail box.
- The Work In Process – By Invoice Date can now be exported to Excel.
- The Outstanding Costs vs Customer Invoices and Outstanding Costs vs Received Inventory modules have both been modernized and combined into one module. The module title is now Outstanding Costs vs Cust Inv / Rcvd Inv. When you enter this updated module, the screen will appear as follows:
The default report is Customer Invoices. To print the Received Inventory, click next to that option. You can select another Branch from the drop down and set a beginning and ending date for either report. Both of these reports will export to Excel, or you can click Print to send to paper.
Purchase Orders:
- A new Customer Credit Warning prompt has been added to Purchase Orders in a few key places. The message will appear as follows: CREDIT CONTROL WARNING. Customer is Past due/Over limit. Please review prior to ordering. The User will then have an option to Cancel or Continue. This appears when creating a New PO from Order Entry. The message will also prompt on a PO when clicking Change Line, and also list associated Customer IDs. A similar message will also prompt when right-clicking on a PO and selecting Order. And finally, when using the Order All Lines option, the warning will prompt along with a list of Customer IDs and PO Line #’s.
- On the printed graphical Purchase Order, the Dye Lot Requested field will display if data resides in that field.
Installation System:
- In the Installer Maintenance module, a change was made to allow for setting up Provider/Installer or Crew relationships in the system for billing/payment purposes. You will need to make sure the Provider (Licensed Contractor in charge of one or more install crews) is set up with an Installer ID first. You will then see a new Provider button and field to the right of the main ID as follows:
The default for all existing Installers will be their own ID, which means no change will take place in the system unless a different Provider is selected. Once the setup is complete, during the Installer Payables process, even though an Installer is tied to a Job Labor Line, the system will automatically flip to the Provider ID to process the payment. The Installer Payables Report will display the Installer ID in the last eight digits of the Memo line for reference purposes. Also, this relationship flows through to the Web Install Calendar, allowing a Provider to log in and see all jobs scheduled for their crews, whereas the individual Installer can still log in and only see Jobs assigned to him or her. Invoices can still be submitted, as new User Web Dashboard controls have been added to control which Users can submit and/or see cost.
Another recent change was also made to assist with preventing an Installer from being overbooked on a given day. A new Maximum Installs/Day field appears at the bottom right of the screen as follows:
The default setting is “999,” which is essentially unlimited, or no change. To prevent overbooking, set this field to “1” or “2” or a higher number depending on the Installer’s capabilities or typical labor work performed, or based on whether this Installer ID runs multiple crews.
- The Installer Listing Report (printed) and the export to Excel now include Installer Email. On the export, the new Email column appears at the very end next to the A/R Due column.
Accounts Receivable:
- The Contacts option in Customer Maintenance and Vendor Maintenance can now track Minutes and Miles via the Contact Activity Notes screen that will then print out and export from the Contact Activity Notes Report module. When you click on the Notes icon in either Contacts option, the Contact Activity Notes screen will now appear as follows:
The Minutes and Miles fields can be used to record this data along with a Note about the activity that corresponds to the time and mileage.
- A new option to create National Property Managers (NPM) has been added to the Setup menu in Customer Maintenance. This is the highest level in the hierarchy of PM Customer (property), Property Manager (over several properties but answer to one NPM) and now National Property Manager. Begin this setup by entering the Customer Maintenance screen for any existing PM Customer. When you click on the Setup menu, you will see a new option there as follows: National Property Manager Maintenance. The system will prompt a maintenance screen as follows:
Click the Add button to create a new NPM. That screen will appear as follows:
At the Code field, type a up to 8-digit alphanumeric code for the National Property Manager. You can then type a longer Description in the field below. Click Save to keep the new NPM. Once added, in the prior screen, highlight and right click or double-click to call up an existing National Property Manager so you can then utilize the Add Property Mangers to NPM option which appears in the screen above. That screen will appear as follows:
All current Property Managers in the system will appear in the screen above. You will need to highlight and double-click or right click to Select or Unselect Property Managers that report to the selected National Property Manager. Property Managers can only report to one National Property Manager. The Exclude Other NPM Prop. Mgrs. option will clear any Property Managers from the screen not tied to the existing NPM. With this setup complete, the Customer Master Listing export to Excel will display a NPM column. Also, the A/R Aging Report (Standard) will sort by Property Manager/NPM. And finally, Sales Analysis will generate for either all Property Managers under a NPM, or all PM Customers included under a NPM.
- In the Ship To Codes option of the Customer Maintenance module, the column headings are now sortable/searchable.
- The Customer Account Maintenance module is now graphical and much easier to navigate. Although it is primarily used for entering beginning balances initially, it does require occasional access for adding Liens, writing off bad debt, and other uses. The new design will make these functions much easier. When you enter this module, the screen will first appear as follows:
The default setting for the Function box is Add. To make an Inquiry or Delete an item, click on that option. That screen will prompt a lookup screen as follows:
Each of the column headers is sortable if you click on it. You can scroll through the list of items, or use the Customer, Item Type, and/or Item Number fields to narrow the search. Once an Item is located in the screen, highlight and Right-Click to Edit or Delete or Double-Click to Edit. The system will prompt an Add/Update Customer Account box as follows:
There is limited functionality in this screen, other than to Change Branch, modify Lien/Dispute, and Retainage. When you enter to the Add Function, the system will prompt a graphical main Add/Update Customer Account screen as follows:
The fields in this screen are similar to the text version and work the same. However, the drop down and lookup options make the process of working in this screen much more user friendly. Required fields are denoted with a green asterisk. Debits must equal Credits before you can Save an item in this screen, as it was with the old version.
- In the Customer Status Inquiry module, a new option to add Notes to all Invoices with an open balance has been added. When you select a Customer and enter the main screen, this new button will appear at the very bottom as follows:
When you click on this button, a Notes box will appear as follows:
You can type up to two lines of Notes. Click the Save button to have the Notes added to each applicable Invoice. You will see an asterisk “*” appear next to each Item Number where these Notes have been added. You can manage these Notes via the Invoice Notes option when you click on an Item Number.
- The Customer Deposit History module is now graphical. When you enter this module, the system will first prompt a Customer Selection screen. Once a selection is made, the A/R Customer Deposit Inquiry screen will appear as follows:
As with the text program, you can access Customer Notes from this screen. Also, if a Deposit is tied to a system Invoice, you can double-click to View/Print the Invoice. You can also right-click on an item to get the following options: View Job and View Invoice/Credit Memo.
- The Invoice History Inquiry module is now graphical. When you enter this module, the system will first prompt a Customer Selection screen. Once a selection is made, the Customer Invoice History screen will appear as follows:
Highlight and double-click on an Item to View Detail and reprint, if applicable.
- The Account History Inquiry module is now graphical. When you enter this module, the screen will now appear as follows:
As a reminder, data appearing in this screen is dependent upon running the A/R End of Month Processing module on a regular basis. This is a display only screen.
- The Close Deposit Purge module is now graphical. When you enter this module, the A/R Closed Deposit Purge will appear as follows:
Select a different Company from the dropdown box if/where applicable and click Continue to run this feature.
- The Customer Master Listing export to Excel now includes the Ship To Contact Name.
- The Customer Profitability Report was previously released in a graphical version, but has undergone slight changes to the screen and now appears as follows:
The functionality works the same.
- An update has been made to the Print Statements module with regard to graphical server-side printing of Statements: The Totals box will now always print at the very bottom of the final page of the Statement.
- The A/R Detail List (By Lien Date) is now graphical and exports to Excel. When you enter this module, the screen will now appear as follows:
The functionality works the same.
Accounts Payable:
- The Vendor Listing report now denotes Active/Inactive Vendors on printed copay and Excel export. The Excel export now has a column for Active/Inactive. The printed report will display data in the Header based on report selection as follows:
Next to Inactive Vendors, the report will also display an “*” next to the Vendor Name as follows:
- In the Check Register History report, a new Positive Payee Report format has been added for PNC bank. It will appear as follows in the Positive Payee drop down menu: PNC Bank ARP (csv).
General Ledger:
- N/A in Q2.
Payroll:
- Updates have been made to the Payroll Module to allow for County and Local Taxes to be added to the Indiana State Tax Withholding routine. The Payroll Module has been updated to allow for County and Local taxes with new fields and routines in all applicable areas. have been added to Tax/Code File Maintenance and Employee Maintenance screens. Additionally, reporting fields and routines for county and local taxes have been added to the following: Employee Master Listing, Quarterly Earnings Report, Year to Date Earnings Report, the W-2 modules, and Payroll End of Month Processing.
- The Tax / Code File Maintenance module has been modernized with all graphical screens. When you enter this module, the system will prompt a Payroll Code File Maintenance selection box as follows:
Highlight the desired Code option and click Select to continue. All of the options above are now graphical with the exception of the State Withholding Deduction.
- The Employee Maintenance module is now graphical. An Employee selection box has also been added. That screen will now appear as follows:
Required fields of entry are denoted with a red asterisk. You will not be able to save a record without completing these fields. Additionally, similar fields have been grouped together.
Sales Analysis:
- The ability to track Profit and Margin by Installer has been added to the Sales Analysis module. This change will apply to all invoiced jobs moving forward—it is not retroactive. Where multiple Installers exist on a Labor Line, the system will divide up the percentages. You will now see Installer as an option in the Selection Level drop down boxes. Additional items added to the Selection Level drop down boxes appear as follows: Ship-To City, Ship-To State, Sold-To City, and Sold-To State.
- In the Sales Analysis Results screens, if a Job Number or Invoice Number appears, you can right-click on an Item to View Job. Once you view the Job, the system will return you to the Results screen.
Owner Functions:
- N/A in Q2.
Management Functions:
- N/A in Q2.
Special Functions:
- The Vendor Invoice Report is now graphical. When you enter this module, the screen will now appear as follows:
All of the sort options previously available in a menu format appear in the screen above. Only make selections where you wish to customize the report. You can print or export to Excel.
- In the CCA Global Catalog Import module, modifications have been made to allow for new product types and new product definitions, as well as tracking for drops.
- The Vendor Sales report export to Excel now displays an Invoice Paid Date column. This allows for tracking of unpaid items that qualify for rebates.
- A new module appears in the Special Functions menu as follows: Vendor Café. VENDORCafé is an online Vendor portal with a simple User interface that can dramatically reduce paper invoices and streamline communication with Vendors. It is similar to the Ops Technology for Property Management/Multi-Family industry. BMS has added this feature to allow for exporting Invoices for import into the VENDORCafé portal via this module.
To begin using this functionality, Property Management Customer IDs need to be identified as VENDORCafé clients in each applicable Ship To Code Maintenance screen and a Yardi #/ID entered at the bottom right of the screen. Those fields appear as follows:
Check the Vend. Café box and enter the Yardi data and then click the Save button to complete the Customer side setup. With VENDORCafé Customers thus designated, the System will capture and save applicable data each time the Invoice Register is printed and cleared. When you enter this module, the screen will appear as follows:
Select an Invoice Register Beginning and Ending Date for the export and then select either a Property Management Customer ID or a Property Manager ID from the Lookup box. Click Export to generate the file.
B2B Catalog Process:
- Two new Product Codes have been added to accommodate a new material type for Wall Coverings being sent by Adleta. Those two new codes should be added, where applicable, as follows:
- Phenix Flooring is now live for B2B Catalog Import. A new B2B Product Code has been added for PHENIX FLOORING ACC/EA as follows: y4. Please note: Phenix Flooring is only sending carpet styles at this time. Also, Phenix, along with a few other new B2B Vendors, is only accepting hand-picked flooring dealers at this time based on volume. Check with your Phenix Account Manager for more details.
- Radio Distributing is now live for B2B Catalog Import. A new B2B Product Code has been added for RADIO DIST ACCESS/EA as follows: y5. Please note: Radio Distributing and some other B2B Vendors will require an extended setup time, and catalog items may need revisions after first initial download.
- International Wholesale Tile has been set up and is in testing mode. A new B2B Product Code has been added for INT WHOLE TILE ACCESS/EA as follows: y6.
- Interceramic USA is now live for B2B Catalog Import. A new B2B Product Code has been added for INTERCERAMIC ACCESS/EA as follows: y7. Please note: Interceramic and some other B2B Vendors will require an extended setup time and catalog items may need revisions after initial download.
- Florida Tile is now live for B2B Catalog Import. A new B2B Product Code has been added for FLORIDA TILE ACCESS/EA as follows: y8. As with Interceramic above, Florida Tile’s initial 832 download may require extended setup time and catalog items may need revisions after the initial download.
- A new note field for California Air Resources Board (CARB) has been added to B2B Invoices in compliance with the industry B2B Standard.
System Maintenance:
- Two new controls have been added to the Branch Control 2 level screen as follows: Print Progress Payments and Max Deposit Percentage. These controls only apply to BMS clients selling labor with material in the state of California and only impact verbiage on the printed Invoice, Agreement and Quote. California law dictates that you can only take a 10% deposit, up to a max of $1,000, on installed jobs. Anything more is considered a “progress payment.” While this falls under the dealer to abide and manage, this change makes it flexible to exclude the verbiage on material only jobs, and add percentage and cap amount on printed documents for installed jobs. These changes appear in a separate print option box as follows: Print Progress Pay, Percentage to Count as Progress Pay, and Limit of Progress Pay Amount.
- A new sub-question has been added to an existing control in the User Control 1 level screen. The existing control appears as follows: Disallow Cost Information to Show. When set to “N” for no (User sees costs), the system will then prompt a new sub-question as follows: Allow Non-Catalog Labor/Special? The default is “Yes,” which allows a User to “freehand” Labor and Special Charge Line Items in Quote and Order Entry, rather than select from the Catalog. Select “No” at this prompt to prevent the User from being able to “freehand.”
- Three new Custom Menus are now available for all customers in the User Control 1 level screen of the System Control Maintenance module. These menus were created for a specific client, but have been made available to all BMS clients. These menus are geared toward Users handling Accounting duties and with access to some of the API and System Upgrade features. Those menus should be typed as follows: MENUACC1, MENUACC2, and MENUBOSS.FIL. The ACC1 menu includes limited Sales Processing access, with all reports, limited Inventory Control access, with all reports, full Accounts Receivable menu, and a couple of General Ledger modules and reports. The ACC2 menu is very similar, but includes the full Accounts Payable menu, with the exception of Bank Rec. The BOSS menu is modeled off the MENUAFB2.FIL menu. It matches that menu, with the addition of Leads Processing and the removal of Property Management / Builder Templates modules in Sales Processing, and includes an Inventory Control menu with Catalog Maintenance and Inventory Maintenance.
- Two new sub-questions have been added to an existing control in the User Control 2 level screen. The existing control appears as follows: Allowed to change Notes after entry. The two new sub-questions pertain to F6 Comments Lines and will only prompt if this control is set to “N” for no. They will appear as follows:
The first prompt controls making changes to Floor Plan Comment Lines. To prevent a User from making changes, type an “N” for no at this option. The second prompt controls making changes to all other Comment Lines. Again, to prevent a User from making changes, type an “N” for no.
- An adjustment was made to the existing Custom Menu, MENUPRO2. This menu now includes the Inventory Usage Report.
- A new sub-question has been added to an existing control in the User Control 3 level screen. The existing control appears as follows: Disallow Update of Labor Cost. If this control is set to “Y” for yes, when you enter through this control, the new sub-question will appear as follows: Allow update of labor cost in quote. The default is No, so you will need to select Yes to allow.
API Add On & Miscellaneous programming notes:
- The Build Order Processing module has been updated to include a graphical print screen and graphical Build Order documents that include barcodes both for components and complete builds. The print screen now appears as follows:
Also, with regard to the Committed Inventory functionality, Build Order inventory that is Unassigned now displays in an additional field on the screen, BO Unassigned. Additionally, Build Order inventory is now included in the Committed column of the Inventory Usage Report.
- A Rooms button has been added to the FloorMaster export.
- The main User Web Dashboard screen has been adjusted to make clear that any changes impact the entire company. Previously, the screen was vague that changes would be company-wide. The Branch field now displays “ALL” and the copy routine does not display a Branch. Also, there are a few additional User Web Dashboard controls for clients using the RMMobileApp and Install Calendar. Those controls appear as follows:
The default settings for these new controls appear above, so they only need to be accessed for those Users who require changes. The Block Access to Sales Processing Menu, if set to “Y” for yes, will prevent the User from accessing Customer Lookup, but still have access to the Install Calendar. The remaining two controls relate to Installer Invoices submitted via the Install Web Calendar. They appear as follows User can see cost on Installer Invoices and User can submit Installer Invoices. These both relate to Provider/Installer scenarios, where an Installer does the work, but the Provider is the payee and doesn’t want Installers to see their billing rate. Please see Installation System above for changes in Installer Maintenance that allow for creating a Provider/Installer or Crew relationships for payment processing.
