Bundle Line Items on Templates, Printed Documents

How do you Bundle Line Items on Templates and Printed Documents?
Bundling lines together on Jobs allows for grouping of like lines together on printed documents, such as Sales Agreements, Work Orders, and Invoices. There are also Bundle View options to help sort through Quotes/Jobs/ Templates that contain several job lines and multiple types of products. To enable this feature, some quick setup needs to be completed in the Branch Control 2 level screen. See below.

Branch Control 2 Setup:

Two controls must first be considered/enabled before using the Bundle Feature in Business Management Software (BMS). They appear in the Branch Control 2 level screen of the System Control Maintenance module as follows:

Bundle Lines on Sales Docs- this control allows Material, Labor, and Special Charge Lines to be bundled together on printed sales documents. The default on this option will be “N” for no, so no change will take place unless this option is switched to “Y” for yes. A second prompt will then appear as follows: Do you wish to auto bundle Material, and Labor/Special? If set to “Yes,” the system will then “bundle” like material items together in one section at the beginning of the document, followed by all labor and special charge lines together in the next section, regardless of line # order. If you select “No” at the auto-bundle prompt, you will then create your own Bundles from within the Quote, Order Entry, and Property Management modules as you add Lines.

Bundle Work Order Documents- this control, if set to “Y” for yes, will enable Bundling on the Work Order, Pick Ticket, and Installer Work Order, based on Bundling that was completed on the Job. To set this control to “Y” for yes, the previous Bundle Lines control must be set to “Y” for yes.

Branch Control 2 Setup:
In the Add or Change a Line Item screen in the Quote Entry, Order Entry, or PM modules, you will see a Bundle Name field. You can type a new Bundle Name in this field or click the drop-down arrow to search for any existing Bundle Names. This will only be stored for the current Job. You can do this for such things as Product Type grouping, building grouping, etc. See example below:



On the printed sales documents, lines will be grouped based on matching bundles. If all lines in a bundle have the same quantity, then the first line to print will be the Bundle Name, and it will display the quantity. If the quantities within a Bundle do not match, no quantity will be shown on that line. The price will be the sum of the price of all the lines and the amount will be the total of all the lines. Any lines not Bundled will appear separately at the end of the document, sorted in line # order with full quantity, price, and amount data. For clients creating their own Bundles, there are different print options available: Summary, Detail, and Full Detail (see Bundle View box below for more details).

To facilitate the use of this feature, a Bundle View option has been added to the View menu in Order Entry. The Bundle View box displays lines as they are currently grouped under their assigned Bundle Name. When you click on View, the list of options will include the following: Bundle View. When that option is selected, the system will prompt a Bundle View box as follows:



If bundled lines appear on the job, you will see the names listed in the Bundle Name (1) box at the top left of the screen. A couple of options exist in this box, including the ability to Edit the Bundle Name. You can double-click on a name to prompt an Edit Bundle Name box. If you right-click on a Bundle Name, the following options are available: New Bundle, Edit Bundle Name, Delete Bundle, and Add New Lines to Bundle. You can re-order the Bundle Names on the job by clicking the up and down arrow (2) buttons. Any changes can be reset by clicking the Reset (3) button. The box to the top right (4) displays the current Default Job Printing Options. You can make changes here that will impact only the current Job. All bundled lines tied to a Bundle Name will display in the box below when that Bundle Name is highlighted. If you double-click on one of those lines, the system will prompt a Change Bundle box. You can also right-click on one of those lines to display the following options: Change Bundle and Remove From Bundle.

Another place to see Bundle Names is at the bottom of the Line Items tab screen when a Job Line is highlighted. You will see that as follows:



Additionally, in the Item Selection screen that prompts from the Find and Add Line Items screen in Quote and Order Entry, the ability to access the Bundle View feature has been added as follows:
