Sales Processing:
- In the Ship To tab box in Order Entry and Quote Entry, the Notes icon now reflects Ship To Notes. Also, when you click on the icon the Notes box displays Ship To Notes. Prior to this change, the box reflected Customer Address Notes. No change has been made to the functionality, just the title to provide a clear delineation between Customer Notes, Ship To Notes, and Job/Quote # Notes. An article exists in the BMS Help Desk that describes the full functionality of all Notes and Comments in Sales Processing as follows: Notes and Line Comments in Sales Processing.
- An update was made to the In-Job Transfer option released last quarter. This change was made for customers who utilize the Cut Sheet functionality and also transfer inventory between Branches in BMS. A new option has been added to the Inventory Transfer box as follows: Pull Processed. The Cut Sheet requires that the material either be cut or pulled if no cut is required. If you need to pull material to ship to another Branch, this switch allows for marking it as processed when receiving the transfer, eliminating the need to go back to the Cut Sheet module to process the pull before shipping on a Work Order.
- A password can now be added to converting Templates in Property Management / Builder Templates. The password can be added in the System Menu Passwords module in the System Maintenance menu. Contact support@rmaster.com for the program name to password protect.
- In the Open Order Report, when exporting to Excel, the report now has an Ordered By column. This data pulls from the Ordered By field in the Job Detail tab screen.
Inventory Control:
- In the Catalog Maintenance module, an update has been made to the Associated Products feature. You can now program Associated Products by Customer Levels. When you click on this tab, you will first see a new checkbox at the bottom as follows: Only Display item with a customer filter. When checked, any customer level associations will display in the selection box above. When you click either Add Association or Mass Association, you will now see customer filter selection options as follows:
You can set these for Customers and Property Managers, and then determine if it will be specific to a single Customer or Property Manager or All, and even specific to a Ship To Code.
- In the Catalog Listing module, two updates were made to speed up the Excel export and Print option. In the Excel version, a routine was removed as it was discovered that the process slowed the export for a field that wasn’t even on the report. For both options, a check box has been added as follows: Include Retail Price. The default setting is unchecked. If left unchecked, both the print and export speed are greatly improved. This has improved the report speed from minutes to seconds, which should make many Users very happy.

- In the main Purchase Order Processing screen, when a PO is highlighted, a total work quantity amount will display below the PO Total field as follows:
Installation System:
- In the Installer Maintenance module, a few updates have been made and the layout changed to accommodate those new fields. The first update is the addition of a Contact field at the top left just under the Name field. The next update was made to the existing License ID field. It was also moved to include additional functionality and room for multiple licenses. The entire screen has been changed around to accommodate these new fields, but all other fields remain the same, aside from two additional options at the very bottom. The new fields appear at the bottom as follows:
If a License ID is entered in any of the three fields, along with a Percentage amount to collect and an Expiration Date of the license, the User can then determine whether they select to Charge on Expiration Only, so the amount will begin to be deducted from the Installer’s paycheck upon expiration of the license, and/or Disallow Work Order on Expiration, preventing a Work Order from printing upon expiration. These fields can be left blank for no change in the system.
The Logo button along the bottom is specifically for the BMS Web Install Calendar program. It allows for Installer Logos to be uploaded so they appear on Invoices that Installers can submit from that mobile application. Additionally, E-Docs can now be assigned to individual Installer’s to save copies of Licenses, Worker’s Comp certificates, etc.
Because of the addition of the License ID functionality, other areas of the system were impacted to incorporate these updates. The first is in Installer Payables System. When you print the Installer Payables Report, you will see the new fields as follows:
These new deduction fields have also been added to the Installer Payables History module export to Excel. They will not display on screen as there is no space for them, but they will factor into the total calculations. The Graphical Work Order, as mentioned above, will not print with an expired license installer assigned where the option has been checked. The system will display a message stating “Bad Installer Info” and prompt for it to be corrected. The Batch Work Order program will not print a Work Order assigned to an expired Installer. Additionally, the Install Date fields/tabs, Installation Schedule, text Work Order and Graphical Work Order will not allow assigning an Installer with an expired license and with the option checked. The A/P Open Item Maintenance module G/L functionality has been adjusted for these fields as well as the Installer GL Acct Mtc screen. The BMS Web Install Calendar program will not allow assigning of an Installer where the license is expired and the option checked. And finally, these fields can also now be imported in the Installer import and they appear on the Installer Listing Report to Excel.
- The Installer Listing export to Excel option has been updated to include an Active column. When exporting for a single Branch, you will see a “Y” in this column where the Installer is Active. When exporting for **All** Branches, whether the Installer Activity box is set to Both, Active Only, or Inactive Only, this column will display applicable Branch IDs separated by a “|” as follows:
Accounts Receivable:
- In the Customer Status Inquiry module, a couple of updates have been added with regard to Lien Dates. The first is the addition of a button to allow for mass adding/editing of all Lien Dates on all items with a balance. The second is the addition of more options to the Lien Date drop-down box. Those appear as follows: Legal, Payment Dispute, Final Demand, and Escalation. Please Note: you will also see these additional options in the Customer Account Maintenance Edit/Inquiry screen from the Lien/Dispute button.
- In the Customer Payment History module, after a paid Invoice has been purged from the Customer Status Inquiry module via End of Month processing, if any A/R Invoice Notes exist on a purged item, they can continue to be viewed in this module.

B2B Catalog Process:
- Nourison Rugs is now available for 832 catalog import into BMS. You will need to complete the registration page on the B2B Integration page on the RMaster.com website to get signed up.
System Maintenance:
- In the Branch Control Maintenance module, a new prompt has been added to allow for setting Overbill values by Product Code for multi-branch operations, rather than a set amount for all items. That control appears as follows: Allow Transfer Overbill Override by Product Code. When you enter through this option, a Transfer Overbill Override by Product Code selection box will appear as follows:
You can double-click on each applicable Product Code to set a custom Overbill amount or percentage, based on how you answered the previous control option of how to charge, by Amount or Cost %.
- A change was made to an existing User Control 1 option that appears when the Is This User a Salesperson option is set to “Y” for yes. The next to the last option in the additional control options, Only Show Own Work, has been adjusted to allow a Salesperson to create Quotes or Orders for any Customer. Previously, they did not have that option if they could only view their own work. Another option has been added as follows: Allow view of Lead Phone and Email. This control only applies to customers utilizing the Leads Processing module. It controls whether the User can see the phone and email data for a Lead. See API/BMS Efficiency Tools section below for additional information on the Leads App.
- In the User Control 7 screen of the System Control Maintenance module, a new control has been added as follows: View Only Access to Salesperson Payables. With this control set to “Y” for yes, the User can select and unselect items, but they are not allowed to change commissions. They also cannot use the Enter Adjustments option, nor can they Update Items as Paid.
API/BMS Efficiency Tools Programming Notes:
- A Digital Price Tag export/import integration with etagg Solutions (etaggsolutions.com) has been added to the system. The setup starts in the Catalog Maintenance module with key fields in the Catalog Attributes feature. If you’re interested in pricing your showroom, this will be a great tool to get that going. - A new Web Dashboard control has been added as follows: User can see Lead contact info. This control applies only to customers utilizing the Leads Processing module and then only those accessing from the BMS Mobile App. This control determines which Users can view or call contact information on each Lead from within the App. A separate new User Control 1 Salesperson option has also been added that controls who can see Lead contact info from within the BMS Leads Processing module. It appears as follows:
Set this control to “N” for no to prevent the User from seeing this data.
- Also in the Leads Processing module, an Availability Report to Excel has been added. The data on this report can be sorted by Date, Branch and Zone/Region. It will display applicable Sales Reps, Time Slots, and who is Available for each. It can be found under the Print menu in the main screen.
- In the Gravity Payments (CIP) integration, two new benefits have been added as follows: (a.) Auto-void – When deleting/refunding a payment, the program automatically first attempts to VOID. If that fails, then it refunds. VOIDS have a significant cost savings for the client. With traditional systems, the User has to consciously decide to process a void. By automatically attempting Void first, Gravity Payments takes the guess work out and clients no longer have to rely on staff to make the decision, thereby increasing the effort to help the client get the lowest rate.
