To quickly navigate through these Release Notes, follow the steps in the diagram below to call up a Navigation pane (on the far left in diagram below) in Windows. BMS Retail System
Release Notes v2102.2 – Q2 2022

In the very near future, a major improvement has been made that will impact everyone using BMS. Soon after the launch of this update, the Print Screen box will cease popping up upon entry into a module. As a reminder, printer selection has been tied to User IDs for some time and will always display the current printer selected at the bottom left of your screen as follows:

To change printers, you will access the Print menu within each module, as indicated below:

Please Note: if any customer does not have User Specific Controls activated at the Branch level, it will become necessary to do so starting with this release. You can reach out to support@rmaster.com for assistance.

SALES PROCESSING:
  1. The View Last Price option in Quote and Order Entry now has added functionality. When you right-click on a line item, you will see the option to View Last Price. When you select that option a View Last Unit Price box will appear as follows:

The highlighted area above illustrates the updates to this option. You can now select by Branch or include **ALL** Branches. When you make a selection, click the Build button to see the changes reflected in the display area below. Additional updates include including All Colors and Include Quotes. Both of these selections require hitting the Build button to see results. Additionally, in the display area, you will see Quote # and Quote Date has been added, along with a section for Color. And finally, programming was completed to speed up the processing of this feature.
 
  1. In the Line Items screen of the Order, Quote, and Property Management modules, the system now displays the Catalog Item Description field at the bottom right as follows:

This is a customizable field in the Edit Catalog Item screen. It can be used to display additional product data such as pallet quantities, patterns repeat, extra adhesives needed, etc.
 
  1. With regard to Batch Work Order Printing and systems where Bill of Lading has been set up or any supplemental Work Order documents, the system is now printing the BOL and supplemental docs again upon Work Order reprint. 


INVENTORY CONTROL:
  1. In the Inventory Usage Report, the system will now skip inactive Product Codes with no activity.


BARCODE MANAGEMENT & PRINTING:

JOB COST:
  1. N/A in Q2 2022.


PURCHASE ORDERS:
  1. A new “Will Call” checkbox has been added to the Ship Via Code Maintenance feature. This allows for items that will be picked up and not shipped to the warehouse to print on the system Work Order. Only on applicable Ship To Codes, should this checkbox be selected as follows:

INSTALLATION SYSTEM:
  1. The label verbiage for the License ID fields in Installer Maintenance is now displaying on the Installer Payable Report. Also, a new utility has been added to the Functions menu in the Installer Maintenance module to populate/copy the verbiage contained within the three License ID fields in mass. This can be copied by Pay Type, i.e., Sub vs. Contractor vs. Hourly.
 
  1. In the Work Order/Pick Ticket module, when using the Select All button, any material lines tied to a Purchase Order with a Ship Via of “Will Call” will be selected. This is tied to the new update in Purchase Orders whereby a Ship Via Code is designated as “Will Call” in the setup. See Purchase Orders section above for complete setup info.


ACCOUNTS RECEIVABLE:
  1. From the Customer Status Inquiry module, you now have the option to print a Statement for the selected customer. You will now see a Print Statement button just under the Contact button in that screen. When called from this module, the system will default the selected Customer ID in the A/R Statement Print program.   


ACCOUNTS PAYABLE:
  1. In the Open Item Maintenance module, in the PO Review option, the system is checking to see if the Invoice Date precedes the PO Receipt Date. If it finds this occurrence, the system will pop up a warning message as follows: Invoice date precedes PO receipt date. G/L – inventory reconciliations may be affected. This was added because posting the cost of the inventory before the receipt of the inventory causes issues in the G/L with reports. This doesn’t prevent the User from continuing, it just warns that this is going to happen if the User continues. This allows the User to make an informed decision before proceeding. Additionally, the A/P Audit report will record this process when it happens.
 
  1. Primarily for our FSU dealers, we have reactivated the Vendor Alpha Key Lookup to assist with Vendor ID searches, however all customers can use this feature. Putting this feature back was necessary to assist FSU dealers with existing catalog in cross-referencing the way their Vendors are already set up with the new BMS Vendor ID. Here’s how it works: when searching for a Vendor ID, click on the Alpha Lookup button to prompt an Alpha Key Look-Up box. In the Search Alpha Key field, type in the first few letters of the Vendor or as much as you recall. Click Search to bring up results. Once the Vendor appears, double-click on that line to continue the selection process. These steps are illustrated below:

  1. In the Bank Reconciliation module, you can now un-reconcile past reconciled records. There is a specific process that must be followed in order for this to take place. Also, only the most recent reconciliation file can be unreconciled. If you need to un-reconcile beyond that latest record, you will have to perform this process to each subsequent record. When a file is unreconciled, the report record will automatically be voided and any reprints (SSP print only) will bear a VOID watermark. Each record in that file will then reappear in the main screen with the “R” flag removed, but will still be selected.  

Before you begin, you need to make sure you do not have any current items Marked As Cleared. This will cause an error in the un-reconcile process, so you’ll need to unmark those first, making sure the Cleared column is empty. To begin the process, in the main screen, click on the Reconciliation Reports menu and select Print Previous Reports as shown below:

In the Print Previous Reports Screen, you will see a new Status column as follows:

In the Status column, click on any of the most recent reconciled reports. This will prompt a message as follows:

If you click Yes at this prompt, the system will begin the VOID process and prompt the following:

Additionally, the Status column for those three reports will now display VOID. Any voided report can still be reprinted, but you will clearly see messaging on the printed report that it has been voided. As the message above indicates, you will need to exit out of the module and enter back in to see the unreconciled records, or switch to a different bank account and back.

Back in the main screen, the unreconciled items will appear by the date they were originally marked to clear, displaying the original date along with a “Y” as selected. As a reminder, if you need to go back further, you will need to unmark this batch as cleared, then return to the screen above and un-reconcile the next record, etc., until you get to the previous reconciliation that may need to be adjusted.

SPECIAL FUNCTIONS:
  1. In the Customer Facing CSV Imports module, fields have been added to the View Material Catalog Example spreadsheet. Those fields are as follows: Programmed, Sampled, Sample Size Value, Add PO in Order Entry, Consignment, Promotional Pricing (All Fields), and Item is Non-Refundable. 


B2B CATALOG PROCESS:
  1. A special note about an existing B2B Vendor: Moving forward, Phenix Distributing must be set up directly with the Vendor. BMS cannot complete this request on your behalf. However, you can reach out to BMS Support for assistance with locating the name and email address of the individual at Phenix you will need to contact to get this process started.


SYSTEM MAINTENANCE:
  1. N/A in Q2 2022.


API/FSU/BMS EFFICIENCY TOOLS PROGRAM UPDATE NOTES:
  1. A big change was made to the way the FSU Catalog Import & ongoing updates are brought into the BMS System. This change utilizes the B2B Catalog Import module rather than the initial .csv file import method. All FSU customers will now see a new FSUVEND file import when updates come in as follows:

Click the View button on the far right to prompt the Material Import screen as follows:

At the bottom left you will see default record counts for the incoming file import. At the top right, you can change the view to see Update items only or Add items only, and also uncheck the Changes Only box. In the middle of the screen, in red text, you will see the fields that have changed on each highlighted record. If needed, the Cut Cost field can be edited, but generally, these are standard negotiated prices. Once the file has been reviewed, the Import button at the top can be used to bring in the file import. To view any Invalid Records, click the View Invalid button. Please Note: any B2B Vendor that is also a participating FSU Vendor, will not import this way. You will continue to import that data via the regular B2B process. Dixie Home is a recent example.

  1. With regard to FSU imported catalog items and UPID ID, in Catalog Maintenance, a radio button option was added to the Read a Barcode/Seq tab screen to allow for searching by UPID ID. That change appears as follows:

Additionally, in the Edit Existing Catalog screen, a display button has been added to the right of the Sequence # field as follows: FSU Detail. When you click that button, a display box will appear as follows:
