The four consecutive User File (2) buttons just below the Yarn Type button are user-definable for additional categories that also report to the Sales Analysis module. They have been added to allow for further customization and sorting of Catalog Items. These can be changed from the default names by clicking the Setup menu at the top left of the screen and you can then build applicable selections within those user-defined categories. When you click on Setup, a drop down menu will appear as follows:
Click on one of these options to display a User Defined File Setup and Maintenance box as follows:
To create a customized button, click the Allow Edit (1) button to change the default User File button name to one of your choosing. The system will place the cursor in the Display Name (2) field. Type a new name for the button and click Save. The Code and Description columns are populated via the Code (3) and Description (4) fields at the bottom of the screen. The Code field will be a shorter version of the Description field. Click the Save button, and the new data will appear in the box above. Once Codes are saved, you can right-click on an existing item to bring up an option to Delete Selected Item or highlight the item and make edits in the Code and Description fields. Once the setup is complete, from the main Add New Catalog Item screen, you can click on each customized User Defined button to make selections that are applicable to the Catalog Item. One example is a Display Name of “Rug Styles” with Codes for Classic, Contemporary, Geometric, etc.
Quick Reference Guide:
- Go onto Catalog Maintenance
- Search the style name
- Click on a specific PC, i.e., 05 (you will need to do the same process for each applicable PC that pertains to that style)
- Click on "select style and ALL colors" for Pattern
- Within ALL colors, uncheck “Edit All Colors” and select an individual color to assign a Color code
- To set up a new UDFF, i.e., add a new name, pattern, color, etc.:
- Go to Setup at the very top
- Click on the UDFF you want to add/change the name of. For example, User Defined File Fields 1, 2, 3, or 4.
- The window will read User Defined File Fields 1, 2, 3, or 4 Setup and Maintenance.
- Under Display Name, click Allow Edit
- Add the new Display Name
- Click save
- To add a new selection within a specific UDFF, i.e., add a new pattern, color, etc.:
- Go to Setup at the very top
- Click on the UDFF you want to add the new selection to
- The window will read User Defined File 1, 2, 3, or 4
- Click on the specific UDFF
- The window will read User Defined File 1, 2, 3, or 4 Set Up and Maintenance
- Add the new code and description at the bottom
- Click Save
- To delete a selection within a specific UDFF, i.e., delete a specific pattern or color listed:
- Go to Setup at the very top
- Click on the UDFF you want to delete a selection from
- The window will read User Defined File 1, 2, 3, or 4
- Click on the selection you want to delete
- Right-click on the pattern or color and choose “Delete Selected Item.”
- To attach a specific UDFF selection to a particular style or style color:
- Go into Catalog Maintenance
- Search the style
- Click on the specific PC, i.e., 05 or IR (note all PCs for that style need to be done separately)
- Select style and ALL colors
- Select the UDFF on the left side towards the bottom (i.e., pattern, color, etc.) within which you want to attach a new selection to apply to the style or style color
- Click on the selection you want
- A window will pop up that reads “Fields Edited.”
- Click Save
