Adding a New User in your Business Management Software (BMS)
The steps below will guide you in adding a new user to BMS. To control the access and permissions a User has you will need to choose a Menu for them as well as setting User Controls. The Menu a user has determines which Modules of the Software they are able to see when they log in. There are over 40 pre-set Menu options to choose from that allow access to different modules depending on common roles a user may have. Attached is a spreadsheet with each of those Menus listed along with descriptions of the roles different Menus were built for. Filter this spreadsheet to narrow down the best option for the user you have in mind. This can always be updated as needs change.

There are 6 User Control menus (plus controls for Web Portal, Edocs, and Web Dashboard if your company uses those features) to further tweak what a user has permission to do within the modules they’ve been given access to. To Add a new User, you must at least complete set up in User Control 1. Additional information on what each control means and does has been separated out into individual User Control KBAs.
Note: If the User will be a Salesperson, you'll want to make sure they are currently set up in Salesperson Maintenance or else be prepared to add them through this screen.
 
  1. Navigate to System Maintenance > System Control Maintenance > User Control > User Control 1
  2. Type the new User ID and hit enter to prompt "User does not exist, Add?" Type "Y"
  3. Enter a password and arrow down through Associated Login / Device fields, completing the remaining controls. Additional information on these controls can be found this article: User Control 1
  4. If the User is a salesperson and does not have their information entered already in Salesperson Maintenance, you can add a Sales ID when prompted. You will then be asked to go through additional questions pertaining to salespeople. If the User will not be a salesperson you can Type "N" to skip these prompts.
Complete entries down to the Custom Master Menu field at the very bottom. If you do not enter a menu (see attached list of all Custom Menus) it will default to MENU.FIL, which is full access to all modules. While recommended that at least 1 User have this menu, it is not recommended for everyone to have full access.
