Requirements needed prior to printing (Electronic filing to IRS requires no changes):
- SSP Printing capability—this is required to print many of the latest graphical documents in BMS
Setup in BMS prior to printing out new forms:
- Enter the Print A/P Form 1099 module in BMS
- In the 1099 Type field, select “1 – NonEmployee Comp 1099 NEC”
- Note that the new Form 1-3 Offset fields are now in “Inches” as shown in the screen below:
- The first step is to determine your Form Offset settings. These will be different with every printer. Begin by printing a Test Page to plain paper, making sure to select the proper SSP Printer, and hold up to a new blank 3up 1099 Form to determine which sections need to be adjusted up or down. You can use negative numbers to move offset up, and positive to move down.
- Make your Offset adjustments in small increments, such as .25, .5, or -.25, -.5, etc. Again, every printer is going to be different, so there are no recommended defaults or suggestions. However, if you type in a number that is too far out of range, the system will pop up a message, which is why it is best to use small, incremental adjustments. Once you have these correct, write them down for future use as this module is not currently saving the data and will re-set back to .00 upon exiting the module.
- When you are ready to print, you will not print directly to the new 3up IRS 1099 Forms. With SSP Printing in place, you will be printing to a PDF file from the Print A/P Form 1099 module. Type in your Form Offset Settings and then select Print Test Page to send your 1099 NEC data to your PDF app. When the plain paper test page file is up in your PDF screen, a crucial step to this process is to change the Scaling or Zoom default settings to not scale or print at 100%, depending on the PDF App. Please Note: Ctrl + P should open the Print Dialogue box in any PDF program.
Instructions for FoxIt Reader are as follows: select FilePrint or Ctrl + P to pull up the Printer Settings box as follows:
Your Print Handling settings should be Scale and None as indicated above. You can then put your 1099 IRS 3up Forms in the printer and hit OK to begin printing. For those with Adobe Acrobat Reader, locate the 1099 Forms on your Desktop. in the Print box, select Custom Scale-100%, as in the example below:
