Notes in Quote/Order Entry:
The Notes covered in this section appear and work the same in both Quote & Order Entry. The screenshots are from Order Entry.
  1. Quote/Job Number Notes – These Notes are specific to the Quote or Order to which they’re attached. These are generally internal by default (no printing), however, they can be printed on the Pick Ticket or Work Order (text and all graphical modes) by prefacing the line with an “*”.  There is a limit of 18 lines of Notes that can print on a Work Order. These Notes can also be accessed in the Property Management / Builder Templates module, and the Installation Schedule and Credit Memo programs. The Job Number Notes Icon appears as follows:

 

 

 

  1. Ship To Notes – These Notes are tied to a Customer’s individual Ship To Codes (delivery addresses). They are generally internal in nature, but can also be printed on both the Pick Ticket and Work Order (text and all graphical modes), just like with the Job Number Notes explained above. Notes set to print are prefaced with an “*” and there is a limit of 18 lines that can be printed on the documents. These can also be viewed/updated from Quote EntryProperty Management / Builder TemplatesProperty Management / Quick Orders, and A/R. The Ship To Notes Icon appears as follows:

 

 

 

  1. Copy to Clipboard – This Icon appears to the left of the Ship To Notes Icon as pictured above. This option will prompt a Copy Text box as follows:

 

 

 

The entire Ship To address will copy to the Clipboard. From here you can copy to an Email, calendar, etc.
 

  1. Customer Sold To Notes – These are Notes tied to the Customer’s A/R account and are usually general in nature. The functionality for typing these Notes works the same as explained above. They can be viewed by all Users, but do not print on any internal/external documents. These are viewed/updated from A/R and Order/Quote. The Customer Sold To Notes Icon appears as follows:

 

 

  1. Special Instructions – These are Job-specific Notes that print on the QuoteSales AgreementInvoice, and Work Order, so you can communicate a quick message to your Customer or to the warehouse/installation department. Some ideas are as follows: entering comments on whether material is in stock or backordered, customer pick-up instructions, etc. You can also leave it blank. This field is accessed from the Job Detail screen as follows:

 

 

Line Comments in Quote & Order Entry:

Just as you can add Job NotesCustomer NotesPO Notes, etc., you can also add multiple notes to each line on a Job called Line Comments. When you are in the Line Items screen, you will have a few different areas from which to access this feature. In the Inventory Review and From PO screens, you will see an option on the bottom right side of those screens as follows: Line Comments. You can click this button at any time to call up this feature. Additionally, once a line has been added to the Job, if you right-click on a highlighted line, a small box will pop up with the following options: 

 

 

Whenever you select the Line Comments option, the system will prompt an Order Entry Line Comments screen as follows:
 

In the Quote version, you will not see the Inventory button at the bottom left of the above screen, but otherwise, the two options work the same. At the top of the screen, the system will display the Line #, Style Name, Color Name, Work Qty, and Sell Qty of the Line Item. To begin adding Line Comments, click in the Ln # column of the applicable line and then click the Add button at the bottom of the screen. The system will prompt a Select Option menu as follows:

 

Add a Room (Floor Plan) – These Line Comments allow you to enter your material cuts for the warehouse/ installer, and that data will then print on the Work Order. When this option is selected, an Add or Update Room Comment Line box will appear as follows: 

 

 

The Area field is for a brief description of the room/area for the cut, such as HALL. The Unit field will default to the width of the carpet/vinyl. Type the length of the cut in the Qty field. The Inst field will calculate based on the Unit and Qty fields. The Web Name field only applies to the BMS Web Portal program and will only be accessible for BMS customers utilizing that product integration. Click the Save button to save your Line Comment and continue.

Customer Copies – these Line Comments will only print on customer-facing documents (Quote/Sales Agreement/Customer Receipt/Invoice). These can be viewed/updated from Order/Quote and Work Order/Pick Ticket. Predefined Required Notes (see below) can also be pre-set to auto-generate on Customer Copies
Work Order – these Line Comments will print only on warehouse paperwork (Pick Ticket/ Work Order/Build Order).  These can be viewed/updated Order/Quote and Work Order/Pick Ticket. Predefined Required Notes (see below) can also be pre-set to auto-generate on Work Orders.
Both – these Line Comments will print on all customer and warehouse paperwork listed above. These can be viewed/updated from Order/Quote and Work Order/Pick Ticket.  Predefined Required Notes (see below) can also be pre-set to auto-generate on Both Customer Copies and Work Orders.
None – these Line Comments are strictly internal comments and will not print anywhere. These can be viewed/updated from Order/Quote and Work Order/Pick Ticket. Predefined Required Notes (see below) can also be pre-set to auto-generate wherever you can access Line Comments.

Comment Review:

Once a series of Line Comments have been added to a Job, the Comment Review screen should be utilized to see all Line Comments together. There is also additional functionality within this feature, including copying a Line Comment to another Line Item. To access Comment Review, from within a Job, you can click on the View menu at the top left, which contains the Comment Review option. You can also right-click on a Line Item in the Job and select Line Comment to view and add. Also, the graphical Work Order screen has a Comment Review button to access and utilize while in that program.
 

Other:

Sales Pop-Up Notes – These Notes are tied to the Customer’s account, and are maintained from A/R Customer Maintenance. These are “View Only” in Order/Quote and do not print. 

Required Notes – This process provides automation and structure to the Line Comments above. When activated via Product Code Maintenance, the process prompts pre-defined (customized) questions to the prompted, and can be set to require a response, when adding an item where activated by PC or Catalog override. All output is recorded as Line Comments using the Line Comment Types defined above.
