Catalog Import Instructions / Tips for CSV Formatted Files
There may be times when a customer needs to update pricing on existing items in their catalog. To make this more functional for the User, BMS created a spreadsheet template in CSV file format that can be imported via Special Functions > Customer Facing CSV Imports. To minimize errors in the import process, imports should be done by an individual with a comfortable working knowledge of Excel.

To update pricing, we recommend first running the Catalog Listing report (found in Inventory Control > Inventory Reports) and saving it in CSV format.
NOTE: check the option at the bottom for Export Print (Excel Only). This will yield the file in the required import format:

A User can make changes to the exported file, then make sure the format matches the template (check all columns, required areas, etc.) 

The tips listed below should help a User complete the Catalog Import process (step #9 will not apply to customers who share catalogs across Branches.)

1. The file must be saved as a CSV file prior to importing into your system (template is attached)
2. The file cannot contain any commas
3. Any quotation marks must be replaced with 2 apostrophes 
4. Each Style /Color needs to be included all together on one spreadsheet
5. Each row = a record, so the data needs to be copied down each row, such as Style Name, Price, Product Code, Vendor, Branch, etc.
6. Each color will need to be listed individually in its own row
7. The Product Code should only be 2 digits
8. Product Type, Style Name, Color Name, Style Number, Vendor Style Name, Vendor Color Name, Boxes, Vendor ID, and Product Code are all required
9. The following tip only applies to companies that don't share catalogs across Branches. If you do share the catalog across Branches, this won't apply: 
For branches, the data needs to be repeated with each branch ID (Excel is helpful for this). One sheet per Branch is okay. Once you get it all consolidated into one sheet, it's easy to complete a file "Save As" and update the Branch ID.
